Job Summary / Purpose:

The Regional Caregiver Recruiting, Ambassador and Staffing Team Manager is responsible for building a high-performance caregiver recruitment group with responsibility for all day-to-day and strategic aspects of caregiver recruiting  and ensuing the caregiver success managers provide an excellent  caregiver experience throughout their time with TheKey. This position is responsible for high-quality service delivery to our caregivers, staffing specialists, and the Clients they support, while providing strategic staffing recommendations with a focus on quality and improved margin. The role will focus on supporting and retaining our caregiver population. This position will understand the adoption of caregiver technology and proactively work on efficiencies and improvements and ensure that caregiver communications are coordinated and consistent and that recruiters and ambassadors are keeping caregiver profiles and availability up to date.

Essential Duties and Responsibilities:

Understanding home care state regulations, and TheKey policies and procedures

Mangement of the Caregiver Ambassador, Caregiver Recruiting and Staffing  team within the designate region

Ensuring that the team creates an environment in which our caregivers have a great experience with TheKey. This will include utilizing best practices to coach and guide office employees in appropriate communication with caregivers and development of positive employee relations environment; maintain team stability with fostering a positive working environment

Ensuring that caregivers and staffing specialists are able to utilize current technology to improve efficiencies and experience

Deliver a streamlined staffing experience to our staffing teams by developing staffing solutions tailored to the client and caregiver experience and optimized against business goals

Prepare, troubleshoot, and resolve daily and future staffing and scheduling matters to maintain staffing guidelines to maximize the delivery of safe, quality care

Coordinating requests for field deliveries of PPE supplies and coordinate with COVID-19 team

Serving as point of contact with the Caregiver Experience team to ensure response to concerns in communications and/or  troubleshooting when trying to resource assistance from benefits, payroll, workers compensation or corporate human resources

As needed periodically overseeing audits to ensure ongoing compliance is up to date

Ensures compliance with employment laws and regulations for hiring processes

Monitors key recruitment metrics to identify and resolve issues affecting recruiting procedures

Documenting incoming concerns and complaints so that they can be tracked and reported to management; identify trends and offer suggestions for training or other interventions to reduce concerns and complaints

As needed, coordinating with IT to find resolution to employee barriers with technology

Providing excellent customer service and responsiveness to local teams in their efforts to follow state and federal laws in their work with employees; serving as mentor and coach to local team members for caregiver employee relations issues

Maintaining caregiver retention and allow for 60%+ minimum over six months of active scheduled/working hours; lead initiatives for caregiver retention, development and satisfaction

Works with team to ensure that we maximize our HR advertising dollars while maximizing candidate flo to reduce time to hire

Understanding client and caregiver scheduling including educating on the importance of accuracy in schedules, rates, personnel and care notes, meeting payroll and billing deadlines

Providing guidance to teams as needed in ways to reduce overtime/bonuses in scheduling

Analyzing data to ensure conversion rate/billable shifts post hire are meeting standards

Ensuring compliance with all labor and home care regulations, where applicable, and partnering closely with the HR team for issues as needed, workers compensation, etc

Additional duties as assigned

Required Skills, Education and Certifications:

Associate’s or Bachelor’s degree in a health related field or humans services preferred

3 years’ Supervisory experience

5 years’ experience in health care, elder care, social work or related industry

Use of analytic tools to review data and previous experience in proactively looking for efficiencies and systems to reduce manual work

Excellent customer service and supervisory skills

Computer proficiency and ability to document timely and accurately notes in system

Polished communication and presentation skills and ability to develop excellent relationships with field staff

Current driver’s license and proof of insurance

Physical Requirements:

Ability to travel approximately up to 25% of the time

Ability to lift and carry up to 15-20 pounds

Ability to sit, stand and walk for prolonged period of time throughout the work day

Ability to use standard office equipment such as personal computer, laptop, telephone, photocopy machine, etc.
