Job Summary / Purpose:

The On-Call Staffing Manager is responsible for working closely with the local office on all client and caregiver activity including service delivery, client relationship management, caregiver development and retention, and client acquisition. The On-Call Staffing Manager is responsible for consistent and high-quality service delivery, the accuracy of care records and direct management of the caregiver team. The On-Call Staffing Manager primary duties are providing after-hours support for clients and caregivers (including evenings, weekends, holidays).

Essential Duties and Responsibilities:

Working with our entire team to ensure clear communication, an effective office environment and consistent operations

Serving as the point person during assigned time for staffing/scheduling and operational issues, including escalation of appropriate issues.

Engage or route appropriately prospective clients and caregivers who call on-call line or answering service who inquire about service or employment opportunities

Promote word of mouth referral bonus program to all caregivers that the On-call Manager interacts with

Understand company caregiver hiring processes and contribute or support if required

Understand company caregiver orientations and trainings for new caregivers and ongoing re-training for our existing caregiver base

Managing our Caregiver Team when on-call, responding to requests, providing leadership and support where needed and ensuring that caregivers are complying with our Policies and Procedures, to ensure that proper protocols are in place for employee discipline and warnings, employee termination, incident investigation and resolution, injury and workers’ compensation management, benefits management, and other routine and escalated issues.

Ensuring that all active cases are staffed with appropriate caregivers, day-to-day logistics are maintained, all schedules are satisfactory and clear with clients and caregivers, callouts are minimized and resolved as needed, and other operational questions and situations are managed effectively

Communicating regularly with the caregivers to ensure that our services are properly documented, and status reports are appropriately communicated to our office team by end of each working day with weekly recap sent to Internal Operations Leader

Supporting the Client Acquisition Process with Caregiver Matching, ensure all open shifts are staffed appropriately, follow company standard staffing practices

Communicating with our clients and their families when applicable to ensure a positive and successful relationship

Managing our Client & Caregiver Schedules, and master timesheets. This function includes the accuracy of our schedules, rates, personnel notes and care notes within our Operating System.

Maintaining our Operating Margins and Caregiver Wage Scales, and ensuring compliance with any applicable Labor or Home Care Regulations

Maintaining a comprehensive knowledge of our requirements as a licensed Home Care Organization, including our obligations to our clients and caregivers

Ensuring proper, timely and accurate documentation through ClearCare for all caregiver and team communications, all our operational processes, including those related to applicants, new clients, employees, and regulatory requirements including documentation of incidents related to client care.

Additional duties and responsibilities as assigned by your Supervisor

Required Skills, Education and Certifications:

Bachelor's Degree in Health or, Human services preferred or related field

3-5 five years- experience in health care, elder care, social work or related industry

Excellent customer service and supervisory skills

Computer proficiency and ability to document timely and accurately in system

Physical Requirements:

Ability to lift and carry up to 20 pounds

Ability to sit, stand and walk for prolonged periods of time throughout the workday.

Ability to use standard office equipment such as personal computer, laptop, telephone, photocopy machine, etc.
