First, I look forward to working with you! Second, please read the below new process announcement. Thank you! New Process: Centralized Web Leads Starting Friday, June 10, 2022, TheKey will implement Centralized Web Leads. Currently today, we average 10 web leads a day with a less than 5% conversion rate. Web leads are leads that come to us through web forms on TheKey website. Beginning June 10th, these leads will be directed to our centralized team in Austin, TX, who have a proven track record of converting leads to starts via virtual intake, assessment, and close. Any web lead that is converted to client will appear in your Salesforce and ClearCare simultaneously, and a "ready to staff" email (example attached) will be sent to the field office indicating a client is ready to start care (the signed consent agreement will be included). These clients should be staffed and *not* assessed a second time by the field. A client care manager should also be assigned to the case in order to ensure a smooth start of care and continued client success throughout the length of service= . In certain cases, the Web Leads Team may determine that the lead needs to be handled by the local office and will send it directly without performing an assessment and executing the consent agreement. These include: COVID positive care, duplicate client/lead in Salesforce, fast start cases that need to start within one business day, and more. For leads in these categories, the lead will be reassigned in Salesforce to your office and notification will be sent to the office to work the lead. Recognizing that many offices send additional forms to clients that the Web Lead Team does not have access to, local offices will be responsible for sending these additional forms to clients prior to the start of care. If the client requests the additional documents prior to signing, the Web Lead Team will reach out to those offices to obtain the forms and send them to the client as a matter of process. Web leads will be visible on pipeline reports, clearly noted as web leads. No action is needed on these until the Web Lead Team converts and sends the "ready to staff" email to the office. Additionally, for states that require local representation on client signed consent forms, the Regional Manager identified by the Division Head will be added to the DocuSign for signature.
