Attached is the list of CGs who were input directly into Clearcare,
bypassing the iCIMs process.  Looks like FL, NE, and Atlanta are where the
main issues are and then there are issues sporadically across the map.

Can you please partner with their leadership to ensure they understand that
using iCIMs is mandatory?

We will send you this list weekly until we get the list to 0.  This is
critical for both Workday and making sure we spend our marketing budget
wisely.  We don’t know what source any of the 139 CGs came to us through.

  Good morning!

We have several updates for you to share with your branches and teams this
week.  We recommend you share this email with the appropriate groups and
discuss these changes in your leadership meetings.  Please reach out if you
have any questions.

Reminders and Updates

1) *All Caregiver Hires in ICIMs (including all iForms complete).* Last
week we sent out a note about making sure caregivers are fully hired in
ICIMS.  The ICIMs team has regular office hours for your teams to attend
and get their questions answered.  You can get information and a link to
the office hours zoom sessions in the User Support Resources on the right
side of the ICIMs homepage. Please reinforce that ICIMs hiring process
cannot be skipped and needs to take place for all caregivers.

2)* Inform Payroll of any New Hires the day their ICIMS process is
completed.*  This gives the HR team the time they need to build the
caregiver in Workday and gather the paperwork from ICIMS/ClearCare to fully
hire them.

3) *Process for terminating a caregiver.  *If you need to terminate a
caregiver, it needs to happen in two locations (at this time).  First you
need to deactivate the caregiver in ClearCare and give a reason code.  Then
you need to put in an HR help desk ticket so HR can also terminate them in
Workday.  In the help desk ticket you need to include

·  The ClearCare Caregiver ID number

·  The caregiver's first and last name

·  The location

·  The last day the caregiver worked

·  And a Workday reason code (see attached list)

It is important that caregivers are terminated in Workday as there are
COBRA reporting requirements and 401K implications that are generated from
Workday upon termination.

Additionally, there was an effort over the weekend where caregivers who
have not been paid in the last 90 days were terminated in Workday.  This
was done to eliminate sending open enrollment materials to caregivers that
are not eligible for benefits at this time.  Further processes will be run
this week to align Workday and ClearCare deactivated/terminated caregivers
after validation that the caregivers that were terminated in Workday DO NOT
have shifts scheduled in ClearCare.

4) *A change to Travel Time in ClearCare settings taking place today*.
There is a setting in ClearCare for determining when travel time will be
applied that is being changed today.  The current setting has travel time
being triggered for any shifts that are within 12 hours of each other.
This setting is causing some travel time to trigger when the two shifts are
less than 12 hours apart but on two separate workdays.  The
corrected setting will NOT calculate travel time across workdays.

5) *Manager Dashboard and Reports in Workday. * On the regional call last
week, we demonstrated the Manager Dashboard in Workday.  Here is a link to

If you are working in your dashboard and seem to be missing data elements,
you can complete an HR help ticket and the HRIS team will work with you to
review your security settings in Workday.  Your security settings determine
who can see what data elements and with a new system some adjustments may
need to be made as we get more sophisticated in how we use the system.
Reminder - anyone managing others will have a Manager Dashboard app
available to them in Workday.  This is a highly customizable dashboard with
lots of available reports.
