We usually act on them right away but for account statements, especially in Montreal, we need to wait until billing is complete and all of us are done with QB. It becomes difficult when there are multiple people using QB but only 1 user can access it at a given time. My only concern is that I would hold off on sending the email to other sites because we are transitioning anyways , I don't want to concern the clients too much. But for Montreal, we aren't going to transition anytime soon so we can go ahead with the email.
