I am formally submitting a grievance regarding a tax withholding issue that arose in 2024. In late 2024, I noticed a change in my take-home pay and, after some inquiry, met with my General Manager and Senior Payroll Specialist, Germaine Daniels, in November 2024. During this meeting, I was informed that due to a global outage with the Workday system, Missouri state taxes had been incorrectly withheld from my paycheck. As a result, the amount originally deducted for Missouri state taxes was redirected to Kansas state taxes. During our meeting, I specifically asked Germaine whether this would cause any issues when filing my taxes in the spring, and unfortunately, she was unable to provide a definitive answer. I also informed payroll that I had not requested any changes to my tax deductions and expected them to remain consistent with what I had filed upon hire. Germaine advised that if I was concerned, I should seek counsel from a tax advisor or request additional withholding to cover any potential discrepancies. However, I did not receive clear guidance on how to proceed with this. Fast forward to February 2025, when my spouse and I filed our taxes, we were informed that we owed state taxes in both Kansas and Missouri, totaling $1,331.00, with only a $46.00 federal refund. Additionally, our tax advisor mentioned that we were being issued an "underpayment penalty" due to insufficient withholding throughout the year, which we believe is a direct result of the incorrect deductions made by TheKey. Given this, my spouse and I are requesting a reimbursement from TheKey to assist with repaying the owed taxes, as the issue stems directly from the company's incorrect withholding practices. The total amount due across both states is $1,331.00. In addition, I would like to confirm my current withholding and ensure that this issue will not persist in the upcoming tax year.
