There still seems to be some confusion with regard to caregiver vacation requests so I thought I would go over what we had decided on as a team so that going forward multiple people are not doing the work which is meant for one department. All caregiver days off and vacation should be accompanied by the vacation request form which must be sent to the appropriate scheduling manager to be approved. Scheduling managers own the schedule so it makes sense they own vacation requests. All vacation will be approved as long as it has the right amount of lead time, is not in black out periods or other team members are on vacation. We need to be reasonable. If a caregiver calls you for a day off or vacation request please inform them they must file the request with the form to the proper scheduler. If they do not have the form please take the time to send one to them. If you receive a vacation request via email please do not just forward please reply back to the caregiver that you have cc'd the scheduling manager for the caregivers client or clients for approval and they will get back to them. ( this teaches caregivers who they should be dealing with and that it has been looked at) it is then off your plate and lives with the scheduling team. Scheduling managers will inform the specific case manager of all vacation requests so that they are aware. Scheduling managers will update caregivers on the status of the request in a timely manner. Scheduling managers will inform the families that vacation has been filed and that they are working on a suitable replacement. ( there are times scheduling will prefer the CM calls family but they will ask CM individually to do that) Scheduling managers will ensure the replacement is scheduled and if orientation is needed it is scheduled and will inform the CM as well as inform the family. ( again some instances may require CM to call family) As we move into December all caregiver vacation should be put on the online caregiver tracker so we do not lose sight of it and we will look at it during status if required.
