In the spring, your office participated in the group inspection of the HVAC units and we noted, and offered, the same for the autumn. Please find the reminder memo below and confirm to me that you would like to participate again this fall. Thanks very much. Here is the memo: *Memo to Tenants Re: HVAC Maintenance* November 2, 2023 This past spring, we sent out the information regarding HVAC maintenance, which also covered the fall maintenance for 2023. As I am sure you are aware, each tenant is responsible for the maintenance and repair of their own heating and air conditioning units within their space. If not maintained properly, repairs for these units can become costly and replacement even more so. We have taken the initiative to research the cost involved in signing up for a preventative maintenance program for all the tenants. The company is offering us a very reasonable price providing we have the support of tenants (who will be responsible for the cost of this maintenance) and access to multiple units for each visit they make. The cost to have each unit serviced remains $95.00 (plus HST) for the autumn visit. *AAA Air Conditioning* is recommending the units be serviced 2x per year as basic maintenance. This includes maintenance on the units inside the ceilings of your suite as well as checking the condensing units located outside. The maintenance would include: - Brush clean coils as necessary. - Clear accessible drains. - Replace the filter. - Inspection of all motors, electrical, coils, lubricants as required, operation inspections and seasonal start-ups. Any necessary repairs over and above the maintenance would be performed on a time and material basis at the current rate of $112.50 per hour. (During regular operation hours between 8 am and 5 pm Monday through Friday). Extra work would be quoted prior to commencement of repair. You have 1 unit in your space and as such would be looking at a cost of $95 (plus HST). As stated above, to keep these units running efficiently and to assist in the prevention of major repairs, it is HIGHLY recommended that you take part in this program. To keep things simple, I would also take on the responsibility of coordinating these service calls with the service provider at a time which minimizes disruption with your business, as we have done in the past.
