We should be doing the applications and simply marking non-US citizen. We need a date as well according to the below guidance. We should be entering an HCA bank account while we get CAD configured. @Nedra Peterson please call me ASAP to clear the process up and get a status on al CAD cards. Thanks, Gary *From:* Timothy Thomas *Sent:* Monday, March 28, 2022 9:10 AM *To:* Gary Scott *Cc:* Audra Williams ; Nedra Peterson *Subject:* Re: Credit Cards Hi Gary, We have the Mavencare GM Taneisha who will need a card as well as the new HCA Mississauga Waterloo acquisition. I finally received my card on Friday, it took over 3 weeks to get it. My HCL Roger is still waiting. Having to send them to Tampa first is confusing as we need to fill out the form as a US resident with a fake SSN and the Tampa address doesn't even fit within the maximum text fields. I think it's best that someone from your team fill out the request on Canadian employees behalf. Alternatively if we could get a Canadianized application form that would be great. My direct reports seem unable to send through their expense reports for approval. I believe this has to do with the banking issue mentioned above, unless they're missing something. Amex is just not as widely accepted in Canada as it is in the US, therefore a backup card is still required. For example maybe half of all restaurants accept it. Most small and mid sized vendors don't accept given its higher transaction fees. Let me know if you have any further questions. We resolved the pin issue, and I have not heard of any acceptance issues since. If we understand the acceptance issues we can address with Amex or go down a different path for CAD cards. Also, Nedra is working with Concur to add CAD bank expense reimb=E2=80=94th= is does not hold up corporate card. ---------- Forwarded message --------- From: *Brian Scott* Date: Sat, Mar 26, 2022 at 12:04 PM Subject: Fwd: Credit Cards To: Gary Scott Is this you or Amanda at this point that would address this? The corporate Amex cards need to first be sent to Tampa then rerouted to us. I've been waiting for mine for over 3 weeks now and we've just discovered that they require an American bank account so we're awaiting a fix there. Vancouver, Winnipeg and Calgary have corporate Amex cards, (which predate me) so I'm not sure how they were able to set them up. No one has been approving the expense reports so there's a backlog and again its a mess because I can't seem to get access. The expense team is aware of the issue. I uncovered that Winnipeg expenses were ending up on the Vancouver P&L. Finance is aware of this. Finally as Amex is not a widely accepted card in Canada, most offices continue to use the corporate cards that came over during the acquisition. These are used for all types of transactions including recurring marketing spend, gas, office supplies etc. I don't have visibility on these but I can ask that the transactions are sent to me for approval. Let me know what you think. Tim On Wed, Mar 23, 2022 at 12:17 AM Angie Markwell wrote: Hi all and hope all is well. At meetings today Brian discussed the use of CC both company and personal. I need to know who has a company CC and what they use it for. If you are the approver of any CC I need to know who you are approving please and items we are approving. Any recurring expenses I will need to know and may need to approve moving forward as as an organization we are spending a significant amount of money monthly that seems to be unexplainable.
