"# Flexible PTO Policy Reminder - Please Read!

In August 2021, we introduced a new Flexible Paid Time Off (PTO) policy for our Support Team and Internal Field Office exempt/salaried employees. As we approach the summer season when vacations are planned at a greater frequency, we wanted to take a moment to share the policy with everyone and to remind you of the key best practices and expectations when using Flexible PTO:
* All planned Flexible PTO requests must be submitted by the employee and approved by their direct manager through the Bamboo HR system prior to booking or taking the time off.
* A minimum of a two-week notice should be provided in advance of the first day off and a minimum of a month’s notice for PTO requests that will be longer than a week in length. This will allow your manager to ensure appropriate staffing levels to meet the duties of the full team. It is up to managers to approve, adjust or decline Flex PTO based on the needs of the office.
* Flexible PTO accounts for unplanned time away from the office including bereavement, sick time, and jury duty. This time should also be submitted through the Bamboo HR system as Flexible PTO.
* Exempt/Salaried employees are not issued separate floating holidays in Bamboo HR. Flexible PTO requests should be used for all time away from the office. Floating holidays are for non-exempt/hourly employees only.
* Again, due to staffing needs, not all Flexible PTO requests may be honored. It is up to each manager to approve, adjust or decline requests based on the needs of the office. Managers must track pending time off for their teams and make approval decisions that ensure the needs of the office are met while team members are out. The sooner the request for time off is made, especially for time off lasting more than a week, the greater the chances the time off will be approved.
* Flexible PTO will not substitute or supplement for a leave of absence program such as our company paid Short Term Disability program or a State sponsored program.
